Policies and Procedure

Welcome to LabPreps Policies and Procedures section. In this area, you'll discover important guidelines aimed at maintaining clarity, consistency, and compliance in our operations. We believe that familiarizing yourself with these policies is crucial for creating a positive and productive environment for our patients. Thank you for taking the time to familiarize yourself with this important information.

Policies

 To ensure a safe, efficient, and successful blood draw in the comfort of your home or office, please review our service policies below.

MOBILE PHLEBOTOMY PATIENT POLICIES & SERVICE POLICIES

1. Appointment Preparation & Hydration Policy

  • Hydration Requirement: Unless your doctor strictly ordered you to fast with zero liquids, you must drink plenty of water 24 hours prior to your appointment. Proper hydration plumps your veins, minimizes discomfort, and ensures a faster draw.

  • Fasting Orders: It is your responsibility to confirm if your laboratory tests require fasting (usually 8 to 12 hours). You may still drink plain water during a fast.

  • Paperwork Ready: You must have a hard copy of your Physician’s Lab Order/Requisition Form and your Insurance Card ready upon the phlebotomist's arrival. We cannot draw blood without a valid doctor's order.

 

2. Environmental & Safety Requirements

  • Animal Control: For the safety of our staff and the integrity of your medical specimen, all pets must be securely confined in a separate room before the phlebotomist enters your property.

  • Environment: Please provide a clean, well-lit area with a flat surface (table or counter) and a sturdy chair or couch where you can sit or recline comfortably.

  • Minor Safety: A parent or legal guardian must be physically present in the room for the entire duration of the procedure if the patient is under 18 years old.

 

3. Clinical Limits & The "Two-Stick" Rule

  • Attempt Limitations: To ensure patient safety and prevent unnecessary tissue trauma, our certified phlebotomists strictly adhere to a maximum of two (2) venipuncture attempts per appointment.

  • Aborted Procedures: If the phlebotomist is unable to successfully draw blood after two attempts, or if the patient becomes combative, highly anxious, or physically unsafe, the procedure will be aborted.

 

4. Fees, Cancellations, and Billing

  • Mobile Convenience Fee: Our mobile service fee covers dispatch, travel, PPE, and specialized transport. This fee is separate from any processing fees billed by the laboratory (e.g., Quest, Labcorp) or your insurance.

  • Cancellation Policy: Cancellations must be made at least 24 hours before your scheduled appointment window.

  • Non-Refundable Scenarios: The mobile service fee is non-refundable if:

    • The phlebotomist arrives, but you are not present or refuse service.

    • The draw is aborted due to a patient's uncooperative or combative behavior.

    • The draw is unsuccessful due to severe dehydration or inaccessible veins.

 

5. Scope of Service & Liability Disclaimer

  • Collection Only: LabPreps is strictly a mobile specimen collection and courier service. We do not test, analyze, or interpret your blood results.

  • Lab Liability: Once your specimen is safely delivered and signed in at the designated processing laboratory, [Your Company Name] is not liable for delayed results, lost specimens by the laboratory, or billing issues stemming from the lab provider.

  • Result Inquiry: All questions regarding your lab results must be directed to your ordering physician or the processing laboratory.

 

 

​Clinical & Safety Policies

  • Patient Identification Policy: Phlebotomists must verify the patient's identity using at least two unique identifiers (Full Name and Date of Birth) before opening any sterile equipment. This information must perfectly match the laboratory requisition form.

  • Specimen Handling & Chain of Custody: Specimens must be placed inside insulated, temperature-controlled transport containers immediately following collection. Coolants (ice packs, gel packs, or phase-change materials) must never come into direct contact with the specimen tubes to prevent sample hemolysis. Use built-in tube holders. For assays requiring immediate plasma or serum separation, portable vehicle centrifuges must be securely anchored inside the vehicle trunk. They may only be operated while the vehicle is safely parked.

  • Needlestick & Biohazard Exposure Plan: Define immediate first-aid steps, reporting structures, and medical follow-up protocols for accidental needle sticks or blood spills. 

  • Patient Refusal & Adverse Reaction Protocol: Establish exact steps for handling fainting (syncope), hematomas, or a patient changing their mind mid-procedure.

Privacy & Compliance Policies

  • HIPAA & Data Security Policy: A Notice of Privacy Practices (NPP) Will be presented electronically or physically to every client, and signed consent obtained prior to starting the procedure.  Notice of Privacy Practices (NPP) for patients and ensure all scheduling software utilizes Business Associate Agreements (BAAs). 

  • Mobile Device Security: Standard SMS or unencrypted chat apps will never be used to send patient health information (PHI), names, or laboratory orders. Staff must exclusively utilize a secure, HIPAA-compliant communication portal. 

Mobile Logistics & Safety Policies

  • Inclement Weather & Cancellation Policy: Operations will be suspended if regional authorities issue travel warnings. LabPreps retains the right to reschedule appointments to protect field personnel.

  • Personnel reserve the right to refuse entry into any environment deemed unstable, unsafe, or hostile (e.g., loose aggressive animals, visible weapons, active domestic disputes).
